Notification Procedures

The Company understands that there will inevitably be occasions when employees are prevented from attending work due to sickness. However, in order to manage such absence and ensure continued efficiency in the workplace you should ensure the procedures outlined in this section are followed in the event that you are unable to work due to sickness.

We need to be notified of absence so that we can make any necessary arrangements for cover and for accurate record keeping.

If you are absent from work for any reason, then please alert a director using cig@onedegreenorth.digital or by sending a text or WhatsApp as soon as you know. 

You must make every effort to speak to a director personally, however, if they are unavailable you should call another relevant member of the team instead. 

We reserve the right to ask you a series of questions in relation to your absence, including (but not limited to) the nature of your absence and your likely return date. 

If you have not submitted a valid medical certificate which anticipates the duration of your absence, you should ring in each day you are sick. 

If you fail to comply with the notification procedure, you will not be eligible for any contractual sick pay. Failure to comply is a disciplinary offence. Late notification can also affect your entitlement to SSP and Company Sick Pay.

You should advise them of:

  • The nature of your illness
  • How long you might be absent
  • Whether you have any plans to visit the Doctor

Anticipated return to work notification

It is important that you also notify the Company in advance of your intended return date, ideally at your earliest opportunity or by midday on the working day before, so that the necessary working arrangements can be made. If you do not give the Company notice of the intended return date this could cause your sickness absence period to be extended, as the Company may not be able to accommodate your return safely or reasonably.   

On returning to work or as soon as possible thereafter, you may be required to attend a return to work meeting to discuss your absence.

The discussion should allow for an exchange of information and be as frank and as open as possible as this will prevent any misunderstanding concerning the nature of the absence. 

This will also enable the Company to discuss any assistance that may be given to enable you to return to work, any adjustments or support that may be required, or prevent further absence occurring.  A record of the return to work meeting will be kept and be placed on your HR file.
